Privacy Policy

Introduction
HandyPrintz is a web-based document printing queue service designed with privacy in mind. We process uploaded files solely for the purpose of printing and do not retain documents beyond what is necessary to complete the print workflow. This policy explains what information we collect, how we use it, and how we protect your data.
What We Collect
When a customer uploads a document for printing, we temporarily store:
- The uploaded file (PDF, DOC, DOCX, PPT, PPTX, XLS, XLSX, PNG, JPG)
- The customer name provided at the time of upload
- Print settings selected by the customer (number of copies, duplex preference, page range)
For shop owners who register an account, we collect the information provided during Google sign-in (name and email address) along with shop profile details (shop name, phone number, and address).
Automatic Log Information
When you access our platform, our servers may automatically collect certain technical information, including:
- IP address
- Browser type and version
- Device type
- Operating system
- Request timestamps
This information is used solely for security monitoring, debugging, and abuse prevention. We do not use server logs to build user profiles or for marketing purposes.
Temporary File Storage
Uploaded files are not permanently stored. All uploaded documents are automatically deleted from our servers in one of two ways:
- After printing: The file is deleted from the server immediately when the shopkeeper confirms the print job or rejects it.
- After 2 hours: Even if no action is taken by the shopkeeper, a background cleanup process automatically deletes the file and its associated database record within 2 hours of upload.
No copies, backups, or cached versions of uploaded files are retained beyond this window.
How Files Are Processed
Uploaded files are processed solely for the purpose of printing. Office documents (DOC, DOCX, PPT, PPTX, XLS, XLSX) are converted to PDF format on the server using LibreOffice to ensure compatibility with the print workflow. The original office file is deleted immediately after conversion. The system does not preview, index, scan, or analyse the content of uploaded files beyond what is necessary for format conversion.
Data Sharing
We do not share, sell, or transfer any user data or uploaded files to third parties. Files are only accessible to the shopkeeper whose queue received the upload. No other shops or users can view another shop's queue.
Cookies and Tracking
Our platform uses a limited number of cookies and browser storage mechanisms:
- Session cookie: The shop dashboard uses a short-lived session cookie during Google OAuth sign-in. This cookie is used only for the login flow and expires shortly after authentication.
- JWT token: After login, a JSON Web Token (JWT) is stored in the browser's local storage for session persistence. This token expires after 24 hours.
- Advertising cookies: Google AdSense may use cookies to serve advertisements on public-facing pages. These cookies are managed by Google and may be used to display personalised or non-personalised ads based on your browsing activity.
You may opt out of personalised advertising by visiting Google Ads Settings. You can also manage cookie preferences through your browser settings.
We do not use analytics trackers or marketing cookies on the customer-facing upload or status pages.
Third-Party Services
Our platform integrates with the following third-party services:
- Google OAuth 2.0: Used for shop owner authentication. When you sign in with Google, your name and email address are shared with us by Google to create your account.
- Google AdSense: Used to display advertisements on public-facing pages of the platform. AdSense may collect data through cookies to serve relevant ads.
These services are governed by Google's own privacy policies. We encourage you to review Google's Privacy Policy for details on how they handle your data.
Data Security
We take reasonable measures to protect the information processed through our platform:
- All traffic between your browser and our servers is encrypted using HTTPS (TLS).
- Uploaded documents are stored temporarily and are automatically deleted after printing or after 2 hours.
- File access is restricted to the receiving shop's queue. No other users or shops can access files that were not uploaded to their queue.
- Shop owner accounts are authenticated through Google OAuth, and sessions are secured with time-limited JWT tokens.
While we strive to protect your data, no method of electronic storage or transmission is completely secure. We cannot guarantee absolute security.
Your Rights
Because uploaded files are automatically deleted within 2 hours and we do not maintain user accounts for customers, there is no long-term personal data to request deletion of. Customer-uploaded files and associated names are removed automatically as part of our cleanup process.
If you are a shop owner and wish to delete your account or request a copy of the information we hold about you, please contact us at the email address below.
